How to Take Meeting Notes in Google Docs (2026)

Use Google Docs' built-in @Meeting notes, building blocks and smart chips, open our free templates in Docs, or let free AI write the notes. Checked 7 Oct 2026.

Published Updated By KCF LLC

The short answer. There are three ways to take meeting notes in Google Docs:

  1. Use Google's built-in template: in any Doc, type @, choose Meeting notes and pick the meeting from your calendar. Docs fills in the event's details.
  2. Start from one of our free templates: download a Word file below, upload it to Google Drive and double-click it to open it in Docs.
  3. Have the notes written for you: let a free tool listen to the meeting and write the decisions and action items, then paste them into your Doc.

Every Google feature below was checked on Google's own help pages on 7 Oct 2026; the links are at the end. For which template fits which kind of meeting, see our five free meeting notes templates.

Use Google Docs' built-in meeting notes template

On a computer, in a new or existing Google Doc:

  1. Type @ and choose Meeting notes from the menu.
  2. Search for the event. Tip from Google: type next to pick your next meeting.
  3. Select the event. Docs adds notes filled in with the event's details.
  4. If you organized the meeting, Docs offers Share & attach, which shares the Doc and attaches it to the calendar event. If you did not, it offers Share, and the Doc is not attached to the event.

You can also start from Google Calendar. When you create an event, choose Add description or attachments → Create meeting notes. For an event that already exists, open it and choose Take meeting notes. Notes made from Calendar are attached to the event and shared with the guests, including guests from outside your organization.

Two limits Google lists: changes do not sync between the Doc and Calendar (new guests added to the Doc are not invited, and a changed event does not update the Doc), and you cannot add notes to an event you cannot edit, or one that already has notes attached.

Can you change Google's meeting notes template?

Google's help does not describe a way to edit the built-in Meeting notes block. What you can do instead:

  • Save your own version as a custom building block. Select your template in a Doc, right-click and choose Save as custom building block, then insert it with @ and its name. Google lists this for Business Standard, Business Plus, Enterprise Standard, Enterprise Plus and Education Plus, among other paid editions. It is not available on personal Google accounts or on Business Starter.
  • Keep a template Doc and copy it. On any account, keep your template in a shared folder and use File → Make a copy before each meeting.
  • Add it to your organization's template gallery. On Business Standard and above, and some Education and Enterprise editions, an admin can let people submit templates, so colleagues can start from it on the Docs home screen.

Docs features that make notes easier to act on

  • Date chips: type @today, or a date such as @next tuesday, for deadlines that stand out.
  • People chips: type @ and a name to tag an owner. Mentioning someone does not give them access, so share the Doc as well.
  • Dropdowns: add a status column (to do, doing, done) for action items.
  • The Decision log building block: a ready-made table for open questions, decisions and owners. Google made it available to personal accounts as well as Workspace (the Task tracker block is Workspace only).

Use our free meeting notes templates in Google Docs

Each template below is a Word file. To open one in Google Docs, upload it to Google Drive and double-click it; Google says Office files open in Docs this way. Then use File → Make a copy for each meeting.

Get the notes written for you, free

Here are the ways to get meeting notes into Google Docs, from fully manual to fully written, checked 7 Oct 2026:

WayWhat it fills inWho can use it
Copy a template DocNothing: blank sections to fillAnyone with a Google Account
@ → Meeting notesDetails of the calendar event, plus sections to fillOn a computer; Google's help lists no edition requirement
Custom building blockYour own template, inserted with @ and its nameBusiness Standard and above; not personal accounts or Business Starter
Gemini "Take notes for me" in Google MeetAI notes saved to a Google DocAn eligible Google Workspace edition or Google AI plan; 8 languages; recommended for meetings of 15 minutes to 8 hours
Meetings Brief live meeting transcriptionA transcript and a brief: summary, decisions, action items with owners where someone was named, open questions and a follow-up emailFree, no account. Tab audio in Chrome or Edge on a computer; microphone only on phones and other browsers

How the free route works:

  1. Open the meeting in a Chrome tab, and Meetings Brief's live meeting transcription in another.
  2. Press Start transcription, allow the microphone, pick the meeting tab in the sharing window and leave "Also share tab audio" switched on (it normally is).
  3. When the meeting ends, press Stop and finish. A completed transcript of at least 150 words starts an AI brief request; shorter or interrupted captures wait for review. AI usage limits apply. Check names, figures and decisions before copying the result into your document.
  4. Copy the brief and paste it into your Doc. If it shows as Markdown symbols, right-click and choose Paste from Markdown instead; Google keeps that option off until you turn on Tools → Preferences → Enable Markdown, on a computer.

The meeting audio is transcribed on your computer and is not uploaded. To write the brief, the transcript text is sent to Anthropic's API. With Chrome's on-device recognition and both audio sources enabled, live lines distinguish "You" from "Others"; the fallback and microphone-only route do not identify participants. Verify names where they matter, and tell everyone you are transcribing.

Already have a transcript from Zoom, Teams or your phone? Paste it into the transcript box on live meeting transcription and you get the same brief. Only have a recording? Transcribe the file in your browser, where it is not uploaded. On a free Google account without Meet's own transcripts, see how to transcribe a Google Meet call free.

Share the notes and keep a running log

One Doc per meeting. Keep the template in a shared folder, make a copy for each meeting and name it with the meeting and date. You get a clean archive and the template stays untouched.

One running Doc per recurring meeting. Add each new meeting at the top, under a date heading. The whole history stays searchable in one place.

Sharing. Click Share and add people as viewers, commenters or editors. Anyone with access to a shared folder can already see the Docs inside it. Sending notes to people who missed the meeting? Our meeting recap template shows what to put in the email.

FAQ

How do I insert the meeting notes template in Google Docs? On a computer, type @ in a Doc, choose Meeting notes and select the event. Docs adds notes filled in with the event's details, and offers to share the Doc with the guests.

Why can't I find my meeting when I type @Meeting notes? Search for part of the event's title, or type next to pick your next meeting, as Google's help suggests. Notes cannot be added to an event you cannot edit, or to one that already has notes attached.

Can I edit Google's built-in meeting notes template? Google's help does not describe a way to. Save your own version as a custom building block on Business Standard and above, or keep a template Doc and make a copy for each meeting on any account.

Can Google Docs take meeting notes automatically? Gemini's "Take notes for me" in Google Meet writes notes into a Doc, but it needs an eligible Google Workspace edition or Google AI plan. A free alternative is to transcribe the meeting in your browser with Meetings Brief and paste the brief into your Doc.

Does this work on a phone? Google's help describes the @Meeting notes, building block and Paste from Markdown steps on a computer. Meetings Brief can listen through a phone's microphone, which suits a meeting in the room.

How do I share Google Docs meeting notes with people who were not in the meeting? Click Share and add their email addresses as viewers, commenters or editors. If the Doc is in a shared folder, people with access to the folder can already see it.

What if someone disagrees with the notes? Add their correction and note when it was made. For formal minutes, corrections are agreed when the minutes are approved; for working notes, keeping both the original line and the correction is usually enough. The goal is an accurate record, not a winner.
