Meetings Brief is built by the Kindness Community Foundation (KCF LLC), based in Newport Beach, California, USA. We do not sell your data, we do not share it with advertisers or data brokers, and we do not use your meeting notes to train AI models. Where we rely on another company to run part of the service, that company is named in section 7 rather than described generically.
The minimum needed to run the service: the notes you type or capture by voice; a session identifier so the app can associate your notes with your workspace; and your email address, but only if you choose to add one to reach your notes from a second device. We do not collect location data, we do not collect contact lists, and we do not build an advertising profile of you.
No audio recording ever reaches our servers. This holds in both places audio is used, for two different technical reasons. Live voice capture in the app uses the Web Speech API built into your browser, which converts speech to text on your device; only the resulting text is saved, and no audio file is created. File transcription at /transcribe downloads a speech model into your browser and runs it on your own machine using WebGPU or WebAssembly; the recording is read from your disk into memory and is never transmitted. If you use only the transcription tool, no content of any kind is sent to us.
When you use an AI feature — summaries, action-item extraction, semantic search, the contextual bridge, Meeting Memory, Catch Me Up or Aria — the relevant note text is sent to Anthropic's API to generate the response, and the response is returned to you. It is transient: your notes are not used to train, fine-tune or improve any model, ours or Anthropic's. If a note is sensitive enough that it should not be sent to a model at all, do not run an AI feature on it. Transcription is unaffected by this, because transcription never leaves your device.
We use browser local storage for your preferences and session. We also load Google Analytics 4 to see which pages people reach and which they leave, configured with IP anonymisation. We do not run advertising cookies, retargeting pixels or data-broker tags. The cookie banner lets you decline the non-essential category, and declining does not reduce what the product does.
Notes are stored in a Supabase database (PostgreSQL) hosted in the United States, associated with your workspace identifier. Row-level security is enabled so a workspace can read only its own rows. If you never add an email address, that workspace exists only on the device you created it on, and clearing your browser data ends it.
Netlify hosts the site and runs the serverless functions. Supabase provides the database and authentication. Anthropic processes text sent to AI features. Google provides the analytics described in section 5. These are the only third parties that receive any data, and none of them receive audio. No personal data is sold to or shared with advertisers or data brokers.
Notes persist until you delete them; deletion removes the record rather than hiding it. Transcripts produced at /transcribe are never stored by us at all, because they are never sent to us — closing the tab discards them, so download anything you want to keep. To have an entire workspace removed, email us and we will delete it.
Meetings Brief is not directed at children under 13 and we do not knowingly collect personal information from them. If you believe a child has provided personal information, contact us and we will delete it.
Depending on where you live you may have the right to access, correct, export or delete the data we hold about you, and to object to certain processing. Contact us at contact@kindnesscommunityfoundation.com to exercise any of these. We respond within 30 days. Because much of what the product does happens on your own device, in many cases the data you are asking about was never in our possession to begin with.
If we change what we collect or which companies process it, we update this page and the date at the top. Material changes will be surfaced in the product rather than published quietly.
