How to Record a Teams Meeting (and What to Do If You Can't)

Record a Teams meeting in four clicks on a computer or two taps on a phone: who can record, where the file goes, how long it's kept, what to do if you can't.

Published Updated By KCF LLC

The short answer. On a computer, select More actions → Record and transcribe → Start recording → Confirm. On the Teams phone app, select More options → Start recording. Everyone in the meeting is notified. The video file goes to the organizer's OneDrive, or to the channel's SharePoint site for a channel meeting. You need a work or school license that includes recording, or Microsoft 365 Personal, Family or Premium on Teams for personal use; free Teams cannot record.

The rest of this guide covers what most guides skip: whether you can record this particular meeting, what to do when the button is locked, how long the file is kept, and what to do when Teams recording isn't available to you. Every Microsoft fact below was checked on Microsoft's own pages on 7 Oct 2026; the links are listed at the end.

¹ With a license that includes recording, which Microsoft's recording help lists as Office 365 E1, E3, E5, F3, A1, A3, A5, Microsoft 365 Business, Business Premium or Business Essentials, and with recording allowed by your admin. That list does not mention Teams Essentials, so if that is your plan, check Microsoft's plan comparison before relying on it.

How to record a Teams meeting on a computer

  1. Start or join the meeting.
  2. In the meeting controls, select More actions → Record and transcribe → Start recording.
  3. Select Confirm. The recording takes a few seconds to start, and it only starts once you select Confirm.

To record sound only, select Record and transcribe → Start recording → More options, choose Audio only under Choose what to record, then Confirm. Transcription starts automatically with the recording.

What Microsoft says about how a recording behaves:

  • One person records at a time, and everyone is notified when it starts.
  • On work and school accounts, it keeps going if the person who started it leaves. It stops on its own once everyone has left. If someone forgets to leave, it ends and restarts every four hours until the last person leaves.
  • On Teams for personal use, it stops if the person who started it leaves the meeting.
  • It does not capture everything: not more than four people's video streams at once, whiteboards and annotations, shared notes, content shared by an app, or videos and animations embedded in PowerPoint Live presentations.

How to record a Teams meeting on iPhone or Android

In the Teams app, select More options → Start recording in the meeting controls. Everyone is notified. To stop, select More options → Stop recording; the file is processed and saved to OneDrive or SharePoint, the same as on a computer.

One difference: Microsoft says live transcription is only available on Teams for desktop. On a phone you can read the transcript after the meeting ends, but you cannot start one. For which iPhone recorder suits which kind of meeting, see the best app to record meetings on iPhone.

How to record every meeting automatically

Open the meeting in your Teams calendar and select Meeting options → Recording & transcription, then turn on Record and transcribe automatically. Microsoft says meetings and events scheduled from the town hall or webinar template have this switched on already, which is why some of them start recording without anyone pressing the button. Turn the same switch off to stop it.

Why the Record button is grayed out

Hover over the lock icon on Start recording and Teams tells you why. The reasons Microsoft lists, and what to do about each:

  • "Only people in this org can start recording": you joined anonymously, as a guest, or from another organization. Sign in to your work account, or ask someone from the organizer's organization to record and share it.
  • "Unavailable for this meeting (or call) due to organization policy": your admin has not allowed recording, or has just changed the policy and it has not taken effect. Ask your IT admin.
  • "Unavailable in this meeting": the organizer is not allowed to record under their policy. Ask the admin, or ask the organizer to start a new meeting with recording on.
  • "Only meeting organizer and co-organizer can start recording": the organizer limited it in the meeting options. Ask to be made a co-organizer, or ask them to include presenters.
  • "The meeting organizer has disabled recording": the organizer set Who can record and transcribe to No one. Ask the organizer whether the meeting can be recorded.
  • "Only meeting organizers and presenters can start recording": you are an attendee. Ask to be made a presenter.
  • Copilot is turned off for the meeting: the organizer can turn it on during the meeting.

Microsoft says organizers need Teams Premium or a Copilot license to choose who can record and transcribe.

Where the recording goes, who can see it, and how long it is kept

Where it goes. Work and school recordings are saved to the organizer's OneDrive, even if the organizer was not in the meeting, or to the channel's SharePoint site for a channel meeting. A link appears in the meeting chat. On Teams for personal use, the recording sits in the meeting chat.

Who can see it. Guests and external attendees can view a work or school recording only if it is shared with them directly. Microsoft's pages differ on downloading: the recording page says organizers and co-organizers can download by default, and the playback page says only the organizer can. If you need a copy, ask the organizer.

How long it is kept. Microsoft's default expiry for meeting recordings and transcripts is 120 days. Your admin can change it; for A1 users the longest default is 30 days, and published recordings of Teams events expire after 30 days. Anyone with edit permission on the recording can change or remove its expiry date from its player page. When a recording expires, its owner has up to 90 days to recover it from the recycle bin. On Teams for personal use, recordings last 30 days in the chat, so download any you want to keep.

If the upload failed. When a recording cannot be saved to OneDrive, for example because the storage is full, Teams keeps it in temporary storage and the organizer has 21 days to download it before it is deleted. For planning storage, Microsoft puts a one-hour recording at about 400 MB.

"I recorded it but I can't find it." Check the meeting chat first, then the organizer's OneDrive, or the channel's SharePoint site for a channel meeting. A recording cannot be started after a meeting has ended.

Microsoft says every participant gets a notification in the Teams desktop, web or mobile app as soon as a recording starts. Admins can go further and require participants to agree before they are recorded or transcribed: Microsoft's admin setting for this is called explicit recording consent.

A notice is not the same as consent, and recording laws differ by place. Two lines that cover most meetings:

For the invite: "This meeting will be recorded and transcribed so we have an accurate record. Tell me before the meeting if you would rather not be recorded."

At the start: "Before we begin: I'm recording and transcribing this meeting for our notes. Is everyone OK with that?"

For the rules where you are, see is it legal to record meetings.

If Teams recording isn't available to you

If the organizer or your IT admin has switched recording off, ask them first. Recording around that setting can break your organization's rules or the law where you are. When the problem is only that you can't press the button yourself, and the people in the meeting agree, there are three routes.

1. Ask someone who can record. In a work or school meeting, that means someone from the organizer's organization with a qualifying license. In Teams for personal use, any participant with Microsoft 365 Personal, Family or Premium.

2. Record from your own computer. On Windows, Xbox Game Bar can record an app with its sound: press Windows key + G, open Settings → Capturing and choose All, then press Windows key + Alt + R to start and stop. The MP4 lands in Videos → Captures. On a Mac with macOS 27 or later, press Shift-Command-5, open Options and choose Include System Audio. Tell everyone before you start, and record only if they agree.

3. Transcribe the meeting from your browser. If you join with Teams on the web in Chrome or Edge on a computer, Meetings Brief's live meeting transcription can listen to the meeting tab and your microphone on your own computer. You get text and a written brief, not a video. Nothing joins the call, so telling people is your job: say it at the start (there is wording you can copy in is it legal to record meetings).

How the Meetings Brief route works, in short: press Start transcription, allow the microphone, pick the Teams tab in the sharing window and leave "Also share tab audio" switched on (it normally is). In Chrome, supported on-device languages show draft words during speech; otherwise the text arrives in roughly 30-second batches after model setup. Chrome's on-device mode can mark "You" and "Others", without identifying the other people individually. A completed transcript of at least 150 words starts an AI brief request with summary, decisions, action items, open questions and a follow-up draft. A confirmed email and automatic email enabled allow delivery with the transcript attached. Short or interrupted captures wait for review, and daily AI limits apply. Creating the brief sends text to Anthropic; delivery uses Resend.

After the meeting: the transcript and the recap

If the meeting was recorded or transcribed, the transcript is in the meeting chat under Recap → Transcript, with speaker names and time stamps; by default the organizer and co-organizers can download it as a .docx or .vtt file. Microsoft's intelligent recap (AI notes and suggested tasks) needs Teams Premium or a Microsoft Copilot license. Auto-generated chapters on meeting videos are currently available to everyone; Microsoft says they will become part of Teams Premium.

Need the text rather than the video? Our guide to Teams meeting transcription covers starting a transcript, downloading it and fixing a grayed-out Start transcription button. Already downloaded the transcript? Paste it into the transcript box on Meetings Brief's live meeting transcription page and it writes the brief in one go. Only have the MP4? Turn the Teams recording into text in your browser; the file is transcribed on your computer and not uploaded.

FAQ

Can I record a Teams meeting as a participant? Yes, if you are in the organizer's organization, have a license that includes recording, and the organizer has not limited recording to organizers, co-organizers or presenters. On Teams for personal use, any participant with Microsoft 365 Personal, Family or Premium can record.

Can I record a Teams meeting if I'm not the host? Often, yes: the organizer does not need to start it, or even be present. Guests, people from other organizations and anonymous participants cannot. Ask someone from the organizer's organization to record and share it.

Can I record a meeting on the free version of Teams? No. Free Teams has no meeting recording. On Teams for personal use, Microsoft 365 Personal, Family and Premium subscribers can record.

Does Teams tell people when a meeting is being recorded? Yes. Microsoft says everyone is notified as soon as a Teams recording starts. With a screen recorder or a browser tool, you tell people yourself and get their consent where the law requires it.

How do I record a Teams meeting on my iPhone? In the Teams app, select More options → Start recording in the meeting controls. You need the same license as on a computer. You cannot start live transcription from a phone.

How do I record a Teams meeting on a laptop with audio? Teams' own recording includes the meeting audio. If it isn't available to you, ask the organizer first. With their agreement, Xbox Game Bar on Windows (with Capturing → All) or the Screenshot app on macOS 27 or later (with Include System Audio) records the computer's sound. Tell everyone before you start, and record only if they agree.

Can Teams record meetings automatically? Yes. In Meeting options → Recording & transcription, turn on Record and transcribe automatically. Town hall and webinar templates have it on already.

Can I record a Teams meeting after it has ended? No. A recording only exists if someone started it during the meeting. If there is no recording link in the meeting chat, the meeting was most likely not recorded.
